Start with the information already available in the passport:

1. Create and verify your private or business account.
2. Register the horse by carefully entering its UELN, passport details, and profile information.
3. Store the Ownmyhorse registration code securely; treat it as a sensitive product credential.
4. Add relevant documents, photographs, appointments, owners, and authorized people.

Treat the record as an ongoing history rather than a one-time form:

1. Add new documents and appointment information when something changes.
2. Keep identity and ownership details aligned with the authoritative records you hold.
3. Review who has access and remove an authorization when that person’s role ends.
4. Check the record before a sale, handover, or important appointment so outdated information can be corrected.

Upload documents to the relevant horse record so they remain connected to that horse’s history. Sharing is deliberate:

1. Choose the eligible document you need to share.
2. Check who should receive access and why.
3. Use the appropriate controlled workflow, such as read-only sharing during a pending transfer.
4. Review or remove access when it is no longer needed.

Documents are not automatically made public or all shared together. Avoid sending sensitive horse documents through ordinary email.

The horse record can represent private or business legal owners, ownership shares, co-owners, and authorized agents. Give each person only the role and permissions they need. Sensitive actions can require approval from the appropriate owners, and access should be removed when a person’s responsibility ends.

A transfer is completed by both seller and buyer:

1. The seller starts the transfer using the buyer’s email address, selects any eligible read-only documents, and adds an agreement when appropriate.
2. The buyer opens or creates an account with that email address, reviews the horse identity and shared material, and accepts or declines.
3. After acceptance and any required owner approvals or fee, the ownership history advances and the new owner receives a new registration code.

A pending transfer can be cancelled by the seller. A completed ownership change remains part of the record’s history.

Yes. Even without a sale, one record keeps your veterinary documents, insurance papers, pedigree details, and agreements together instead of scattered across folders, email, and phones.

You can give a veterinarian, carer, or co-owner access to exactly what they need. And if something does change later, the history is already there.

Your record is private. It is visible to you and to the people you give access to, and it is not part of a public directory.

Connections are encrypted, documents sit in private storage, shared document links are short-lived, and significant actions are kept in an auditable history. You can switch on two-step verification yourself.
